What is AHA CRM?

AHA CRM is a radically simple follow-up CRM built for salespeople and small teams. No complex pipelines, no bloated features. Just your leads, their temperature (Cold, Warm, Hot), and exactly when to follow up next. AHA even suggests what to say based on your conversation history.

How does lead temperature work?

Instead of complex deal stages, every lead in AHA is simply Cold, Warm, or Hot. Cold means new or unresponsive. Warm means interested but not ready. Hot means ready to close. You change the temperature as the relationship progresses — it's your entire pipeline at a glance.

What are smart AI suggestions?

After 3 follow-ups, AHA's AI reads your conversation history and suggests what to discuss in your next call, plus recommends the best follow-up date. It also suggests if the lead temperature should change based on how the conversation is progressing.

Is there a free plan?

Yes. The Free plan includes 1 user, 25 leads, follow-up reminders, lead temperature tracking, and smart AI suggestions. No credit card required. You can use it forever — it's not a trial.

What does "unlimited users" mean?

On the Team ($29/mo) and Business ($59/mo) plans, you can add as many team members as you want. There are no per-seat fees. Your whole sales team for one flat price.

Can I transfer leads between team members?

Yes. Admins can transfer any open lead to another team member. Both the previous owner and new owner receive email notifications. The full conversation history stays with the lead.

How do follow-up reminders work?

Every open lead requires a next follow-up date. When you log in, your dashboard shows which leads are due today, overdue, or coming up. AHA's AI can also suggest the optimal follow-up date based on your conversation context.

Can I cancel anytime?

Yes. All plans are cancel-anytime with no lock-in contracts. If you cancel, you keep access until the end of your billing period. We also offer a refund policy — just email us within 30 days.

What billing cycles are available?

We offer Monthly, Yearly (20% off), and 3-Year (40% off) billing cycles. You can switch between them at any time from your account.

How long does setup take?

About 2 minutes. Sign up, add your first contact, create a lead, and set a follow-up date. That's it. Almost no training needed — if you can use email, you can use AHA.

Is my data secure?

Yes. All data is encrypted in transit (HTTPS) and stored securely. You retain full ownership of your data. We never sell or share your information with third parties.

What happens when a lead goes cold?

AHA keeps reminding you to follow up. You can mark leads as Lost or Dead if they're truly gone, but the system encourages persistence — because 80% of sales happen after the 5th follow-up. The AI will even suggest re-engagement tactics for cold leads.

Can I use AHA on mobile?

Yes. AHA CRM is fully responsive and works on any device — phone, tablet, or desktop. No app to install. Just open your browser and go.

Do I need to install anything?

No. AHA CRM is entirely web-based. Just sign up, log in from any browser, and start using it. Works on Chrome, Safari, Firefox, Edge — any modern browser.

Can I import my existing leads?

Currently, leads are added manually — which most users prefer since it keeps data clean. If you have a large dataset to migrate, contact us and we'll help you get set up.

What's the difference between a contact and a lead?

A contact is a person (name, email, phone, company). A lead is a deal opportunity linked to a contact. One contact can have multiple leads — for example, if you're selling them different products or services over time.

What are the lead lifecycle statuses?

Leads can be Open (active, being followed up), Won (deal closed successfully), Lost (deal lost to competitor or other reason), or Dead (no longer viable). Open leads require a follow-up date. Lost leads require a close reason.

How does the dashboard work?

Your dashboard shows a summary of all leads — how many are Open, Won, Lost, and Dead. It also highlights leads that are due for follow-up today or overdue. Admins can see data for their entire team.

What user roles are available?

There are three roles: Super Admin (full control over everything), Admin (can manage users and transfer leads), and User (standard access to their own contacts and leads). Admins can see their team's data.

Can I track deal values?

Yes. Every lead has a value field. You can track how much each deal is worth and see your total pipeline value on the dashboard. The value can change over time as negotiations progress.

Is there an activity timeline?

Yes. Every lead has a full activity timeline showing all follow-ups, temperature changes, value changes, and comments — with timestamps and who made each entry. It's your complete conversation history with that lead.

What are quick comments?

Quick comments are pre-written phrases you can insert with a single click when logging a follow-up. Type "/" in the comments field and choose from categories like Initial Contact, Discovery, Proposal, Follow-up, and more. Saves time on repetitive notes.

Does AHA integrate with other tools?

API access is available on Team and Business plans. This allows you to connect AHA with other tools in your workflow. We're focused on keeping the core product simple, so integrations are available but not required.

What happens if I downgrade my plan?

If you downgrade to a plan with a lower lead limit, your existing leads remain intact but you won't be able to add new ones until you're within the limit. No data is ever deleted when you downgrade.
